How Peppol is Reshaping B2B Invoicing Across the UK

Discover how Peppol is reshaping B2B invoicing for UK finance and ERP teams, and how TradeCentric’s solutions help you get compliant with Peppol.

TradeCentric

Electronic invoicing (e-Invoicing) is no longer a nice-to-have for UK B2B organisations, but a core requirement for efficient, compliant and scalable operations. Businesses need an e-invoicing solution that works seamlessly across their trading partner network, delivering security, accuracy and meaningful cost savings.

Peppol is rapidly redefining what modern e-invoicing looks like in the UK, giving businesses a trusted, standardised way to exchange invoices with greater speed, reliability and confidence.

Why e-Invoicing Is No Longer Optional in the UK

UK businesses face constant pressure to automate, improve efficiency and meet customer and supplier expectations. Digital mandates from governments and regulators add more pressure, so automating key processes like invoicing becomes a business imperative.

In fact, the UK Government requires that e-invoicing will be mandatory for all VAT invoices starting in 2029. This follows initiatives from other public frameworks and organisations like the NHS, which has required e-invoicing across its supply chain since 2021 .

UK businesses need a simple, efficient and scalable e-invoicing solution, which is where Peppol comes in.

What Is Peppol — and What Does It Change for Accounts Payable?

Peppol e-invoicing transforms the invoicing workflow, removing the manual entries, non-standard interfaces and bespoke system links that lead to invoice errors, supplier disputes and compliance failures.

Peppol e-invoicing delivers straight-through processing with a single, secure framework for processing invoices. Its global network of Peppol Access Points enables secure, efficient exchange of electronic invoices and other business documents.

Inside the ERP: What Admins Need to Enable Peppol Invoicing

To ensure these documents flow accurately into your internal systems, each Peppol data element must map correctly to the corresponding fields within your ERP.

Whether you’re using SAP, Oracle, Microsoft Dynamics, or another enterprise platform, the mapping process ensures that essential information, such as supplier details, line items, tax amounts, payment terms and invoice totals, is automatically placed into the right fields on receipt.

A well-executed Peppol-to-ERP mapping delivers:

  • Accurate data entry with no manual rekeying
  • Stronger financial controls through consistent field population
  • Faster processing via automated validation
  • Reduced risk of exceptions, mismatches and compliance issues

By aligning Peppol document structures with your ERP’s specific schema, organisations can create a seamless end-to-end invoicing workflow that supports both operational efficiency and audit-ready accuracy.

Common blockers to successful ERP Peppol implementation include:

  • Not enough internal resources to facilitate ERP mapping
  • Lack of expertise in Peppol and variations in national standards and regulations
  • Rushed implementations in response to new regulatory requirements

Partnering with TradeCentric gives you the expertise and resources you need to overcome these blockers and deliver a cost-effective, scalable Peppol solution.

OCI, cXML, BIS3: What Formats and Protocols UK Teams Need to Know

eProcurement and e-Invoicing are different functions that involve different roles.

eProcurement covers the whole procurement process, much of which is about the buyer’s ERP and internal processes. E-Invoicing is more about the system interactions needed between a supplier and buyer to process invoices, so understanding different data exchange formats and protocols is essential.

For example, cXML (Commerce eXtensible Markup Language) is not the same as Peppol, although both are important. cXML uses standard XML based schemas for commercial documents to enable automated exchange, but it doesn’t have the Access Points and overarching framework of Peppol.

Here’s a simple format cheat sheet for the main formats and standards

cXML XML based standard for commercial document schemas enabling automated exchange
OCLOpen Catalog Interface – a standard for linking ERPs to supplier eCatalogs, especially in SAP
BIS3Peppol BIS Billing 3.0 – an invoice and credit note structuring standard within the wider Peppol framework
Peppol An overarching framework, set of standards and mechanism for efficient, cost-effective e-invoicing and document exchange

A 3-Step Plan to Get Your AP Team Peppol Compliant

  1. Build your internal checklist for compliance – What mappings do you need to create in your ERP? How will you test the Peppol e-Invoicing process?
  2. Carry out an Integration audit – Assess your current invoicing processes and systems against Peppol requirements.
  3. Create and execute your go-live strategy – Based on the first two steps, develop an implementation strategy that best meets your business priorities while minimising risk.

TradeCentric provides helpful support and tried and tested templates at each step.
